Capture is only half of what this software does now. AI note taking tools record and transcribe meetings or voice memos, separate speakers, produce a structured recap with decisions and follow-ups, and make an archive searchable by meaning rather than exact wording. Others work on typed material: tagging entries automatically, proposing links between notes written months apart, and answering questions across a personal knowledge base. Handwriting and photo capture, offline editing, and a plain-text or Markdown underlying format are common points of separation.

Consultants, researchers, journalists, clinicians and students use them, along with anyone in back-to-back calls. Products diverge on transcription accuracy across accents, crosstalk and technical vocabulary, on language coverage, on whether recording requires a bot to join the call or captures device audio, and on export options that keep an archive portable.

Import a real backlog first, because search quality is what degrades as a library grows. Watch for transcripts that attribute a quote to the wrong speaker and recaps that invent an action item nobody agreed to. Confidentiality deserves attention: a note archive accumulates client names, compensation discussions and half-formed opinions, so check where recordings are stored, how long they are kept, and whether they train models.
